The Toronto Trucking Association (“TTA”) respects the privacy of their members and the privacy of visitors to this web site. Your personal information is only collected, used and disclosed by the TTA in accordance with this privacy policy.
This privacy policy is based on the Canadian Standards Association Model Code for the Protection of Personal Information, CAN/CSA-Q830-96. Any changes to the policy will be clearly indicated on this web site. This privacy policy applies to member and event registration information collected through and used in the TTA’s web site only. The TTA is not responsible for the privacy practices or the content of the web sites to which it links.
1. Who Is Accountable? The TTA takes full responsibility for the management and confidentiality of the personal information it collects. Our adminstrative staff processes all member information and requests. The Executive Director oversees the operation of the TTA. These individuals are jointly accountable for compliance with this policy.
2. The Type Of Member Information Collected Only information necessary to process membership applications and/or event registrations is required to be provided to the TTA. The TTA encourages those filling out a membership application and/or event registration forms to provide information indicated as optional, in order for the TTA to better address the needs and interests of its members through its membership services and newsletters. However, exclusion of optional information has no effect on membership and/or event privileges.
3. Use And Disclosure Of Members Information The information provided in the membership application and/or event registration forms is only used to contact members, either by postal mail, e-mail or fax. E-mail and fax lists are often compiled to communicate with all members or with a subset of members, for example, to provide specific information to particular committees such as Information Services or Events. A listing of all Active members is also available in the Find A Carrier section of the web site, and is accessible to general visitors. The list contains all those companies who completed a Find A Carrier information form, and provides all the members’ primary contact information: the company, address, contact name and title, telephone and fax numbers, e-mail address and the member’s web site address. In the general sense, the TTA does not sell, lease or trade member information to third parties. However, the Executive Director may authorize disclosure of this same contact information to Canada Customs and Revenue Agency for the sole purpose of sending important updates to members. Member contact information will not be disclosed to any other organizations.
4. Other Information Collected And Used On The TTA’s Web Site Inquiries can be sent to the TTA from the Contact Us page of this web site. Any contact or other information provided to the TTA is used strictly for the purpose of responding to the inquiry, is not disclosed to any third party and is only kept long enough to respond to the inquiry. Individual members area username's and passwords are also stored and used in the day to day operation of the web site. All such information is protected as outlined in paragraph 8.
5. Have I Consented? By providing any of the information on the membership application form, event registration form and/or other areas in this web site, you are expressly consenting to and have knowledge of the collection, use and disclosure of this information, as identified in this policy.
6. Retention Of Member Information Paper application and event registration forms are kept at the TTA’s administration office for a period of six (6) years to meet the legal requirements for record retention. Member information provided on paper or on-line applications are inputted into a stand-alone electronic database. Only one disk back up of the database, replaced monthly, is stored at any one time. The back up is only accessible to administrative staff. If membership in the TTA is terminated, either at the request of the member or in the event of failure to pay membership dues, that member’s information is permanently deleted from the database seven (7) years after the membership is terminated.
7. Is Member Information Accurate? The TTA relies exclusively on the information provided by its members and will not seek independent verification of any of the information supplied. Members are required to declare that the information contained in their application form is an accurate and fair reflection of the facts.
8. How Is Member Information Kept Safe? The TTA implements various security measures to prevent unauthorized access to member information. Paper application and/or event registration forms are kept locked at the TTA’s Head Office, and the only individuals with keys are administrative and executive staff. All forms finally disposed of at the TTA’s office are shredded before being discarded. The electronic stand-alone database of member information is only accessible by TTA staff. Those filling out an application form on-line do so on a general non-secured page on this web site. However, the information is sent to a database that is located on an NT password protected server. This secured database is accessible by the System Administrator, Web Designer and Authorized Representatives of the TTA.
9. What If A Member Is Concerned About The Information That The TTA Holds? a) Individual Access: Upon request, TTA staff will send written confirmation of all the information that the TTA holds about that member within three (3) weeks of the request. The member will have the opportunity to correct any information, however, a reduction to the total number of trucks will not result in a refund of membership fees already collected. b) Challenging Compliance: If you feel the TTA is not abiding by the above Privacy Policy or feel this policy does not adequately relay the TTA’s information-handling practices, please specify your concerns in writing or in an e-mail message and send to: Executive Director 555 Dixon Road Etobicoke, Ontario M9W 1H8 CANADA E-mail: info@tta.on.ca Responses will be given in a timely manner. The TTA is committed to privacy and takes your concerns seriously. The Executive Director will address your complaint and resolve the issue.
